Present: Debbie Valle, Dr. Keith Krolick, Dr. Nedal Arar, Tim Presley, Roseanne Hurst, Gilbert Sosa, Rene Torres, Albert Preciado, Christy Reagan, Suzanne White, Heather Cura, Alan Miller, Tom Raymond, Doug Hartzler, and Jim Barrett.
Dr. Keith Krolick, substituting in the absence of the chair, Dr. Alison Beck, called the meeting to order. Committee members approved the Sept. 27 minutes. Dr. Krolick introduced two new members, Dr. Nedal Arar of the Department of Medicine and Tim Presley of the Medical Dean's Office. Jim Barrett gave the webmaster's report. He said:- Server traffic in October rose 7 percent, to 1.8 million page views, over the same month in 2005.
- The web section of the Handbook of Operating Procedures has been adopted by the Executive Committee.
- Scheduled work to adapt eCV so it can update the web-based faculty profiles was postponed Oct. 18 by action of
a group of interested parties. The adaptation had been scheduled for delivery Jan. 1. A working group that
included representatives of the medical dean, vice president for research, and vice president for academic affairs met, and agreed
to allow the vice president of academic affairs time for comment on the project. Academic Affairs
manages eCV; the vice president for research has agreed to fund the adaptation.
Mr. Barrett said the existing information published on the web is out of date, and asked whether any committee members thought it would be better to remove the homepage link to the information until it is updated. Dr. Krolick said removing the link would do more harm than good. Dr. Alison Beck, in a written message before the meeting, also opposed removing the link.
Mr. Sosa said Jerry York, vice president and CIO, requested the site to help students find technology services and use them. Rene Torres displayed a mock-up of the main page, which showed many "how-to" links to information such as how to obtain wireless service or get repairs for a laptop computer. The page also showed links to departments that provide services related to computers, telephones, and media production. Mr. Sosa said development of the site began in August in consultation with a group of students identified by the Office of Student Services.
Dr. Krolick said he thought the site would be redundant because many of the same links are already in the university web portal. Mr. Sosa said the goal is to link to as many student entry points to technology services as possible. Doug Hartzler said he thought most of the links already were in the student section of the portal. Dr. Krolick said he wondered whether the site would contain information the students said they needed, and suggested an e-mail survey of students.
In a second item of the business, the committee viewed the Human Capital Management system, an online application that would allow employees to view and change selected personnel records.Christy Reagan, manager of the project, described the system as a way to provide self service for many transactions involving the Office of Human Resources. Users would log onto the system through the university portal. Ms. Reagan showed how users could change personal information such as their home address, emergency contacts, and telephone numbers. Users also will be able to view past paychecks and obtain payroll information dating back two years. Benefits information also would be displayed, thus helping users verify insurance coverage, beneficiaries, and optional benenfits plans. She said the system is scheduled to become available by August 2007. Mr. Hartzler asked the committee for any feedback on linking to the system through a portal link titled "Employee Self-Service."
